An AI layer on top of the tools we already use — it does the repetitive coordination so the team can focus on the work that actually needs a person.
A guide for the team · June 2026
1. The big idea
You don't need to learn anything new. Keep working in Slack and your meetings exactly as you do today.
As we've grown, the hard part stopped being the solar work and became the coordination around it — decisions buried in Slack, action items lost after meetings, the same project details re-typed into four systems, and endless status-chasing on permits and payments. The Symmetric OS is a set of AI assistants ("agents") that sit on top of Slack, monday, Google Drive, and QuickBooks. They read what's already happening, keep our systems in sync, chase the follow-ups, and surface what needs a human. We see all of it through two things we already use every day: Slack and a simple dashboard.
The agents read from the tools you already use, keep them in sync, and deliver everything back through the dashboard and Slack.
2. The project lifecycle — and who handles what
Every stage of a project, from first contact to final payment, now has an agent watching and assisting. People still make the decisions; the agents handle the coordination around them.
Six phases, plus a layer that runs across all of them. No project falls through the cracks between stages.
3. The agents
Around two dozen agents run on a schedule in the background. Here are the ones you'll notice, grouped by what they do.
Every morning
Decision capture
Finds decisions made in Slack and logs them to the right project channel and the Decisions log.
Every morning
Meeting follow-up
Turns recorded meetings into owned, due-dated action items, sorted into buckets and posted to the project channel.
Every morning
Reminders
DMs each owner their due and overdue items. Reply that it's handled and it stops chasing.
Weekdays
Sales support
Surfaces stale leads and aging proposals by rep so follow-up happens.
Weekdays
Permit & interconnection
Tracks every project's permit and PTO status, flags what's stalled, and drafts the routine AHJ/utility responses.
When a deal is won
Project kickoff & sync
Assigns a Project ID, creates the project record from the lead, sets up the Drive folder, and posts a kickoff.
Weekdays
Project status
Advances the monday project stage automatically from clear Slack signals, so it stops being maintained by hand.
Daily
Contract extraction
Reads signed contracts and pulls the amount and milestone schedule once, so it isn't re-typed everywhere.
Mon & Thu
Milestone billing
Flags which milestones are ready to invoice as projects hit each stage, and drafts them for the bookkeeper.
Weekly
Bookkeeping & CFO
Pulls cash, AR/AP, and margins from QuickBooks; loads overdue collections; keeps the finance view current.
Monthly
Controller
Month-end close summary, per-job margin, and a packaged hand-off for the outside CPA.
Weekly
Strategic advisor
Reads the whole picture and sends Elliott a short brief: where we stand and the moves to make this week.
4. What changes for you
The goal is simple: keep doing the work that needs your judgment and relationships; let the OS take the repetitive coordination. Nobody's job goes away — the busywork does.

5. Where to find things
Dashboarddashboard.symmetricenergy.com — sign in with your Symmetric Energy Google account. Projects, pipeline, action items (in buckets), and decisions. Finance and receivables are restricted to leadership.
#meeting-actionsAction items coming out of meetings (also routed to each project's channel).
#decisions-logDecisions captured from Slack.
#design-queueNew design / plan-set requests for Harold and Dave.
#adminDaily ops pulse, permit radar, weekly prep, and scheduling.
Project channelsEach project's follow-ups and decisions post into its own private channel.
Your DMsReminders for items you own, plus a heads-up whenever an agent posts something you should see.
6. The guardrails
The agents are deliberately cautious. They do the legwork; a person always makes the consequential call.
Money stays with people. Every QuickBooks connection is read-only. Agents draft invoices and flag what's ready to bill, but a human creates and sends every invoice. No agent ever moves money.
Nothing goes out without a person. Customer, AHJ, and utility messages are drafted, not sent. Permit packages are never auto-submitted to a portal.
Status changes are conservative. The project-status agent only advances a stage on an explicit confirmation, never guesses, and flags anything unclear for Dani.
Finances are confidential. The finance and receivables views are locked to Elliott, Marius, and Kim — the rest of the team can't see them.
Instructions only come from us. Agents treat the contents of emails and documents as information, never as commands — so a stray line in an email can't make the system do something.
7. Where we're going
The OS will keep absorbing repetitive work and, over time, become the way we run the company — with our systems modernizing underneath it.
Capacity vs. pipeline — can we deliver what we sell?
Later — the direction
The interface becomes the product
Ask the OS anything in plain language
A controller and CPA agent maturing toward the books
monday quietly replaced by our own system underneath
More autonomy where the agents have earned trust
This is early, and it will have rough edges. If something looks wrong, noisy, or unhelpful, say so — that feedback is exactly how it gets better. The aim is less busywork, fewer dropped balls, and everyone spending their time where it actually counts.
